WaterFlex BW (Bottled Water) Overview

WaterFlex BW as been optimized to meet the specific needs of a 5 gallon(18 liter) home and office Bottled Water distribution company. WaterFlex BW is a powerful tool to help manage the critical areas of this business including: sales, rental, product delivery and equipment "repair & service".

WaterFlex for Windows™ is a comprehensive software program designed specifically for the Water Industry. The program incorporates the important industry functions into one user friendly application. The system has been developed using the latest technology in software design. The heart of WaterFlex, is the Accounts Receivables Module (AR). This foundation program contains all billing, routing, and equipment information for each customer in a master file.

Since getting paid for the products and service you offer is critical to the success of your business, the billing function of WaterFlex is a great place to start our overview. Designed for multiple styles of billing with both "Balance Forward" and "Open Item" options. Waterflex billing options include: monthly, bi-monthly, quarterly, semi-annual, annual and cycled billing (28day, 56days, etc). There are 30 available billing cycles per month, with one month end closing. All this can be accomplished within one company. In case you're wondering, WaterFlex will allow you to have multiple companies. The aging process can be based on the date of the service (daily aging), or based on the statement billing date. Recurring (cooler rental) income is automatically categorized based on your assignment; other income is categorized at the time of the sale. Review of the customer's entire billing and payment history is quick and easy to access. Multiple companies and multiple branches are accessible, within one customer master file. Most areas of WaterFlex are separated by branch, including all categories of income, both recurring and outright. "Balance Forward" and "Open Item" accounting is selected by customer and may be converted at any time. A complete General Ledger Distribution Report shows dispersal of all income to your G/L accounts. All facets of WaterFlex were developed using GAAP (General Accepted Accounting Principles).

All customer data is easily accessed from the WaterFlex inquiry screen. This information can be accessed by account number, service address, name, or primary phone number. Accounting, installation, and operational information is accessible. This includes the following.

	- Service History
	- Recurring "Service" Information

In WaterFlex you can create 50 "customer data fields" that will enable you to record and track information which is important for you to have on file about each customer. Equipment information includes model, serial number, installation date, warranty date, date of company purchase, condition when installed (new, used, reconditioned) and ownership. Operational information is extensive and specific to each individual account. Payment terms, credit limits, late payment charges, finance charges, statement type, PO numbers, tax authorities, deposit information (Bottle, etc.) and more are maintained for review and reporting.

The Delivered Products module has been designed for complete management of all product delivery, whether routed or "will call". This powerful module enables organization of deliveries by day, truck and stop. It charges for products delivered, tracks deliveries, returns, deposits and bottle balances. It provides records to enable quick and easy balancing of your trucks at days end. You will get complete daily route reports, that include product sales information, and details of missed & skipped deliveries. Reports may be selected by route, by driver, by day or for a specified date range.

WaterFlex for Windows™ features many comprehensive reports. There are over 30 standard reports to help you analyze what's happening within your business. If you would like to create your own customized reports, a powerful Windows report writing program CRYSTAL REPORTS® may be purchased and interfaced with WaterFlex.

The Repair & Service module has been designed to help organize and analyze your service and installation business. It produces work orders, tracks them through completion, then bills for the work. All recorded service information is then readily available for review through Inquiry or via the many reports Waterflex offers.

You can also purchase additional software modules that can be fully integrated with the WaterFlex BW System. This integration allows you to move information automatically from one module to another. For example, the month-end totals from the WaterFlex BW Accounts Receivable and Accounts Payables modules can automatically be moved to the proper General Ledger Accounts in the General Ledger module.
